Secretariat and Archives Department

 


The actual performance of secretarial and Archives Department:

 

This department targeted plan Associated with all the plans of All Chamber's departments. It is

 

mandated to facilitate  work  between them and the foreign ministries and entities dealing with the

 

Chamber. Its tasks as follows: 

 

 

 

1- General In & Out  Correspondences registry of the Chamber

 

 

2-Receipt of letters from Attaba and  Bab El Louk Post offices whether Registered or regular and

 

 

recording them In General register and And presented to the Office of the Executive Chief and delivered

 

 

to the relevant departments.

 

 

3-Receipt of letters from government agencies, non-governmental organizations and traders, then

 

 

recorded them and delivered to the departments concerned after approval of  the Executive Chief.

 

 

4-. Receipt of all letters issued by the Chamber's department  and distributing to governmental and

 

 

non-governmental organizations by hand through Mail representative.

 

 

5. Registering some letters issued  from the Chamber to be sent by  the  Post Office  Authority.

 

 

6- sending  telegrams received from the Public Relations Department by mail. 

 

 

7. Follow-up registered letters mailed  by the Post Office Authority.

 

 

8- Sending all letters from  Chairman Office and Execurive Chief Office whether delivered by hand or by

 

 

regular mail or registered mail to various destinations governmental and non-governmental

 

 

organizations,embassies in all provinces and around the world and following them up.

 

 

9- Sending some letters and invitations of Departments by fax according to the request  of these

 

 

departments.

 

 

10- Forming Committee for registered and regular mail  and opening them , then recorded in 

 

 

registered mail book and presented them to the Executive Chief .

 

 

11- Receiving  monthly statistical study of the Research Department and delivered to the Board

 

 

Members by hand.

 

 

12- Receiving an invitation for attending meetings of all Commercial Devisions, whom their number (53)

 

 

Division and delivered to the Commercial Devisions Board Members by  hand.

 

 

13-receiving monthly reports from the Commercial Devisions Department and research, information

 

 

Department to be  delivered to Board members and the interested Destinations, governmental

 

 

authorities, and different  ministries.

 

 

14- receiving the reports and resolutions of commercial divisions Department  and distribute them to the

 

 

members of  Commercial divisions, each subject to the relevant division.

 

 

15-Receipt of the Egyptian Gazette and the Official Gazette from  the General Authority for publications

 

 

and distributes them to the relevant departments in the Chamber.

 

 

16-Receiving copies of activity  license from certificate Department, and delivering them by hand to

 

 

the offices of the commercial register (North – South – Ramses) daily.

 

 

17-Taking Financial disbursement from the treasury of the Chamber  for sending  

 

 

(Congratulations - Condolences) letters received from the Public Relations Department.

 

 

18-receiving the memoranda of administrative affairs and presented to General Manager of

 

 

Administrative Affairs, Then distributed to the concerned departments after completing all signatures.
